Guest user invitation - bulk operation

Hi All,

Greetings for the day 🙂 LIFE IS BEAUTIFUL 🙂

Today, we will move further in preparation series for SC-300 exam. In last article we discussed how to invite external / guest user individually from Azure AD. In this article we will discuss how to invite multiple guest / external users at a time to our organization

If still didn’t got a chance to went through previous related articles – https://knowledge-junction.com/2021/03/19/azure-sc-300-identity-and-access-administrator-preparation-guide/  please have a look once. I am trying to keep as simple as possible 🙂

Take away from this article :

  • Demo – How to invite bulk guest / external users to our organization at a time from Azure portal
  • CSV template structure which we need to prepare for inviting bulk users
  • Some important point / best practices we need to follow while inviting bulk users to our organization from Azure portal

Details :

  • We can invite multiple guest / external users to our organization at a time
  • Microsoft provides template in “,” (comma) separated CSV file which we need to prepare and upload

Demo : Inviting guest users in bulk

Azure Portal
Fig : Azure Portal
  • Click on “Manage Azure Active Directory“, we will be redirected to “Active Directory Blade” menu as
Azure AD Portal
Fig : Azure AD Portal
  • As in above figure, please click on “Users” from the “Manage” section, we will be redirected to User Management blade – “MsGraphUsers” as
Azure Portal >> Azure AD >> Manage Users >> Bulk Operations
Fig : Azure Portal >> Azure AD >> Manage Users >> Bulk Operations
  • Please have look in navigation menu – option “Bulk operations“, select “Bulk invite” option as shown in above fig. right pane will open as
Azure Portal >> Azure AD >> Manage Users >> Bulk Operations >> Bulk invite users
Fig : Azure Portal >> Azure AD >> Manage Users >> Bulk Operations >> Bulk invite users
  • We need to download the template in CSV format. Its always best practice to download template each time when we need to invite users in bulk
  • CSV template:

  • CSV template columns :
    • Version number – The first row containing the version number must be included in the upload CSV
    • Column headings – The format of the column headings is <Item name> [PropertyName] <Required or blank>. For example, Email address to invite [inviteeEmail] Required.
    • Examples row – Example values.
  • Prepare your CSV file and upload file. Here we are uploading CSV file having values as shown in above template as
Bulk guest invite user CSV file upload
Fig : Bulk guest invite user CSV file upload
  • On successfully submission of file we will get success notification as
Successful submission of invite bulk guest user file
Fig : Successful submission of invite bulk guest user file
  • Make sure all your users are listed in users list
  • If “Send invitation message” is true then users will receive mail notification as well

Few important points :

  • The first two rows of the upload template must not be removed or modified, or the upload can’t be processed
  • The required columns are listed first
  • Microsoft don’t recommend adding new columns to the template. Any additional columns you add are ignored and not processed
  • Microsoft recommend that we download the latest version of the CSV template as often as possible
  • Don’t use “,” (commas) in customized message in “Customized invitation message” column in template since CSV file itself “,” separated file and it will prevent the message being parsed successfully
